{"id":1473,"date":"2017-03-16T23:36:32","date_gmt":"2017-03-16T23:36:32","guid":{"rendered":"http:\/\/www.cec-icmc.org\/?page_id=1473"},"modified":"2023-06-23T18:49:07","modified_gmt":"2023-06-23T18:49:07","slug":"oral","status":"publish","type":"page","link":"https:\/\/www.cec-icmc.org\/2023\/conference-program\/presentation-guidelines\/oral\/","title":{"rendered":"Oral Presentation Guidelines"},"content":{"rendered":"<p class=\"lead\"><span style=\"font-size: 11pt;\"><strong>Presentation Upload &#8211; Indico<\/strong><\/span><\/p>\n<ul>\n<li style=\"text-align: justify;\">All presenters are encouraged to upload an electronic copy of their presentation prior to their talk at the scheduled CEC\/ICMC\u201923 session.<\/li>\n<li style=\"text-align: justify;\">By participating at CEC\/ICMC\u201923 and submitting your presentation, you implicitly agree to publish the content of your presentation on the public Indico site. <strong>Presentations will be available indefinitely unless it is removed by the author.\u00a0\u00a0<\/strong><\/li>\n<li style=\"text-align: justify;\">Presentation upload instructions are available <strong><a href=\"https:\/\/www.cec-icmc.org\/2023\/wp-content\/uploads\/2023\/06\/Presentation_Upload_Instructions.pdf\" target=\"_blank\" rel=\"noopener\">here<\/a><\/strong>.<\/li>\n<\/ul>\n<p><span style=\"font-size: 11pt;\"><strong>Presentation Upload &#8211; Onsite at the Conference<\/strong><\/span><\/p>\n<ul>\n<li style=\"text-align: justify;\">Presenters are <strong>REQUIRED to submit an electronic version<\/strong> of their talk at least one day prior to their presentation <strong>to the Speaker Ready Room (Room 322)<\/strong>. Files are reviewed, scanned for viruses, and loaded onto the appropriate computers in the session rooms. Changes to submitted files will not be allowed.<\/li>\n<li style=\"text-align: justify;\">Only material that corresponds to the listing in the published program may be submitted for presentation. Presentation management staff will be instructed to check for discrepancies.<\/li>\n<li>All presentations will be deleted from all conference computers. It is not possible to copy presentation files<\/li>\n<\/ul>\n<p><span style=\"font-size: 11pt;\"><strong>Logistics\/Presentation Information<\/strong><\/span><\/p>\n<ul>\n<li style=\"text-align: justify;\"><strong>Your presentation must correspond to the title and content of the abstract you submitted.<\/strong><\/li>\n<li style=\"text-align: justify;\">Presentations will be given using the computers provided by the CEC\/ICMC\u201923 Conference. <strong>Presenters\u2019 personal computers cannot be used.<\/strong><\/li>\n<li style=\"text-align: justify;\">Using removable media (USB drives) is prohibited on the computers in oral session rooms. Saving data to and from them is not possible.<\/li>\n<li style=\"text-align: justify;\"><strong>Files transferred to the session computers cannot be copied by anyone and will be deleted after the Conference.<\/strong> Anyone wishing to receive a copy of the slides should contact the presenter, not CEC\/ICMC\u201923 staff or organizers.<\/li>\n<li style=\"text-align: justify;\">Presentations must be submitted in Microsoft Power Point 2019\/PowerPoint 365 or PDF format. Acceptable media: USB flash drive. Macintosh computers will not be available in any of the session rooms. Authors using a Macintosh must ensure their presentations operate correctly using Microsoft Office 2018\/2019\/365 or Adobe Acrobat in the Windows environment.<\/li>\n<li style=\"text-align: justify;\">Presentations should be prepared in <strong>16:9 format<\/strong>.<\/li>\n<li style=\"text-align: justify;\">All session rooms are equipped with an LCD projector, computer, microphones, laser pointer, timer and screen. The laptops in the oral session rooms are not equipped to accommodate audio sound.<\/li>\n<li style=\"text-align: justify;\"><strong>Contributed oral presentations are 15 minutes:<\/strong>\u00a0arrange your talk so that your presentation lasts 12 &#8211; 13 minutes with 2 &#8211; 3 minutes available for questions.<\/li>\n<li style=\"text-align: justify;\"><strong>Most invited presentations are 30 minutes:<\/strong> arrange your talk so that your presentation lasts 25 minutes with 5 minutes available for questions.\n<ul>\n<li style=\"text-align: justify;\">Invited presentation at 20 minutes: arrange your talk so that your presentation lasts 16 &#8211; 18 minutes with 2 &#8211; 4 minutes available for questions.<\/li>\n<li style=\"text-align: justify;\">If your invited presentation is scheduled for 15 minutes, please follow the contributed oral presentation guidelines above.<\/li>\n<\/ul>\n<\/li>\n<li style=\"text-align: justify;\">Arrive a few minutes before the session and introduce yourself to the session chairs before the start of the session.<\/li>\n<li style=\"text-align: justify;\">There will be no rearrangement of papers within an oral session to accommodate absences or cancellations. Allocate at least one minute to describe the problem clearly enough for the audience to appreciate the value of your contribution.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Make sure the audience walks away understanding the five things any listener to a presentation really cares about:<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">What is the problem and why?<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">What has been done about it?<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">What is the presenter doing (or has done) about it?<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">What additional value does the presenter\u2019s approach provide?<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Where do we go from here?<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Fonts<\/span>\n<ul>\n<li><span style=\"font-size: 10pt;\">Select a Sans-serif fonts: Arial or Helvetica. Avoid Serif fonts such as Times New Roman: the Serif fonts are more difficult to read.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">Select font size to be visible over the whole room. We recommend font 24. Do not use fonts less than 18 points.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">Consider font embedding to ensure that characters display properly.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">Use larger fonts to indicate importance.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">Use different sizes and styles (e.g., bold) for impact. Avoid italicized fonts as these are difficult to read quickly.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">Avoid long sentences, Avoid abbreviations and acronyms. Limit punctuation marks.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">No more than six lines per slide, and no more than 6-8 words per line.<\/span><\/li>\n<li><span style=\"font-size: 10pt;\">Do not use all caps except for titles.<\/span><\/li>\n<\/ul>\n<\/li>\n<li><span style=\"font-size: 10pt;\">Design and Graphical Images<\/span>\n<ul>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Include only necessary information: Content should be self-evident.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Keep the background consistent and subtle.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Use one or two large images rather than several small images.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Limit the tables to four rows\/columns for readability.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Charts: The number of curves should be four or less. Label axes, curves and captions clearly using readable letters, font 18 or larger.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Limit the number of colors on a single screen.<\/span><\/li>\n<li style=\"text-align: justify;\"><span style=\"font-size: 10pt;\">Keep the design clean and uncluttered.
