Before you Submit

Please review the following requirements before preparing your abstract.

What to submit

All abstracts must:

  • Address an aspect of cryogenic engineering or cryogenic materials research.
  • Feature new and original developments in cryogenic engineering and/or materials.
  • Be technically oriented and scientifically or technically meaningful.
  • Be written in English.
  • Contain sufficient information for the Program Committee to determine the scientific quality of the work and place the presentation in the appropriate program category.
  • Contain no more than 650 words.

The Program Committee reserves the right to reject abstracts that do not conform to these guidelines.

Abstract content

The following information is required:

  • Abstract title
    • Capitalize only the first word of the title, except for proper nouns and element symbols.
  • Abstract body and acknowledgments
    • Plain text
    • Maximum 650 words
  • Authors
    • All authors must be listed with a valid email address and affiliation.
    • If multiple authors have the same affiliation, list the affiliation identically for each author.
  • Submitting author
    • Contact information is required.
  • Presenting author/speaker
    • Contact information is required.
    • A speaker must be designated before the abstract is submitted.

Submitting authors are responsible for the accuracy of all submitted information.

Technical submission category

During submission, authors will be asked to place their abstract in a technical submission sub-category.

How to Submit

All abstracts must be submitted through the CEC/ICMC 2027 abstract submission site. Abstracts submitted by other means will not be considered.

You must log in to the CEC/ICMC 2027 Indico submission site to submit an abstract and to complete subsequent actions, such as uploading a poster or oral presentation.

Creating or accessing your account

If you have submitted an abstract to a previous CEC/ICMC conference using an Indico submission site, you most likely already have an External email – Guest access account (previously called a CERN Lightweight account).

If you do not have an account, select one of the available sign-in options or create a new account using the External email – Guest access option.

The link to the abstract submission site will be posted here when submission opens on December 1, 2026.

After you Submit

Confirmation email

After successfully submitting your abstract, you will receive a confirmation email.

If you do not receive a confirmation email, log in to your account and verify that your abstract was successfully submitted.

The ID assigned to your abstract is the primary means of identifying your submission until the conference program is formed. Please include your abstract ID in correspondence concerning your abstract until a program number has been issued.

Abstract review

Abstracts will be reviewed by the CEC/ICMC 2027 Program Committee. The Committee reserves the right to change the requested presentation type (oral or poster) based on meeting space and other conference constraints.

Acceptance notifications

Notice of acceptance for inclusion in the CEC/ICMC 2027 Program will be sent electronically on February 17, 2027.

The abstract submission and acceptance notification will be sent to the submitting author and all co-authors. After acceptance, future notifications regarding the presentation will be sent to the designated presenting author/speaker only.

Important Presenter Requirements

All authors identified as the presenting author/speaker on a submitted abstract must:

  • Register for CEC/ICMC 2027.
  • Be present in Knoxville for the conference.
  • Present the accepted work at the scheduled time in the program.
  • Upload an electronic copy of their talk or poster in PDF format prior to their scheduled presentation.

Oral presentations

Oral presenters must submit a copy of their presentation to the Speaker Preparation Room at the Knoxville Convention Center one day before their scheduled talk.

If the presentation is not already available in Indico, the presentation file loaded to the session room will also be uploaded to Indico unless the presenter provides another preferred file to the Speaker Preparation Room staff.

Poster presentations

Poster presenters should upload an electronic copy of their poster in PDF format prior to their scheduled presentation.

Presentation and Publication Requirements

Acceptance of an abstract for presentation does not guarantee publication in the conference proceedings.

Presentation is required for a submitted paper to be considered for peer review. This includes both oral and poster presentations.

The presentation must:

  • Be given at the scheduled time in the program.
  • Be presented by the designated author or co-author.
  • For posters, have the presenting author present for the entire poster session and available for discussion.

Simply displaying an enlarged version of a paper is not considered a presentation.

Only papers based on material presented in an oral presentation or poster will be considered for publication.

The abstract submitter will become the contact author for the paper submission unless a request to change the contact author is made. Paper submission is not required.

Changes and Withdrawals

Changes to submitted abstracts

  • Before the submission deadline: Log in to the submission site and select “Abstract Submission” from the left-side navigation. Select the appropriate abstract and click the pencil/edit button in the upper-right corner.
  • After the submission deadline: Contact Centennial Conferences by email and include your abstract submission ID number.

Abstract title, content, and presenter changes will be accepted through Friday, April 30, 2027.

Changes to the presenting author

During the conference, please notify the staff in the Speaker Preparation Office of any presenting-author changes.

Abstract withdrawals

  • Before the official abstract submission deadline: Abstracts may be withdrawn through the abstract submission site. Select “Abstract Submission,” choose the abstract you wish to withdraw, select the abstract title, and click “Withdraw.”
  • After the submission deadline and before the conference: Withdrawals must be requested through Centennial Conferences by emailing Centennial Conferences.
  • During the conference: Please notify the staff in the Speaker Preparation Office.

General Information

  • Add cecicmc@centennialconferences.com to your address book to ensure that future correspondence is received.
  • All abstracts submitted are disclosed to members of the CEC/ICMC 2027 Program Committee and conference management.
  • Accepted abstracts will be made publicly available when the full conference program is launched prior to the conference.
  • Submitting-author email addresses will be added to the CEC/ICMC email list, if not already subscribed, to ensure that conference announcements are received.
  • By participating in CEC/ICMC 2027 and submitting your presentation, you implicitly agree to allow the content of your presentation to be published on the public Indico site.
